STARDARD CHECK-In & CHECK-Out POLICY

• Check-In Time    :  2:00 pm.
• Check-Out Time :  11:30 am.

** Check- ins are not permitted to individuals without payment of balance due.

RESERVATION POLICY

• The resort requires full prepayment prior to your arrival to confirm the booking.
• A reservation is considered confirmed when you receive a confirmation voucher and email containing your reference ID. Please present your booking info to the resort upon check-in. 
• Booking is available for modification until 30 days prior to arrival (except for the stay period 21 December - 10 January) without any cancellation charge.
• Any change to the arrival date, departure date or room type of this reservation is subject to the hotel's availability at the time the change is requested and may result in a possible rate change or an additional fee. For example, shortening or lengthening your reservation is subject to availability and may not be possible at a later date.
• At least 50% deposit of the total room cost including taxes is required to secure your reservation. 
• Once the booking has been processed, you will receive a Reservation Confirmation email that outlines a summary of your booking. 
• Please review the information carefully and contact us if you have any questions or require any changes. 
• This email will also include important information that we urge you to read to ensure your travel to Koh Tao Cabana is issue free.
• Please review our Cancellation Policy below. Securing your reservation with a credit card means you accept the terms of our Cancellation Policy.
• The remaining balance of your total room cost including taxes is due on check in at the hotel. 
• Our hotel accepts Thai Baht cash, and credit card (Visa and Master Card). Traveler’s checks are not accepted.
• We require a three-night minimum booking for holiday reservations during the Christmas and New Years holiday period (December 23 – January 3).
• Pets are not permitted in the hotel and restaurant.
• We ask that all of our guests purchase Travel Insurance, which is generally inexpensive, but can really save a lot of emotional distress if an unforeseen event occurs.

EXTRA PERSON POLICY

• Rates are based on 2 guests per room per night. Subject to availability and discretion of the resort, extra person may be allowed in a villa.
• Extra person will be provided with an extra bed, amenities and breakfast at the cost of THB 3,000 net per night for 2-Bedroom villas,or Pool villas and THB 2,000 net per night for other types.
• Extra person at age of 3-10 years may be allowed to stay with their parents in the same villa at THB 1,000 net per day inclusive of daily breakfast.
• Guests at age 0-2 years will be provided with daily breakfast at no additional charge.
• Baby cots, if requested, are provided at no additional charge and subject to availability.

PAYMENT & CREDIT CARD POLICY

• Reservations with invalid credit card will be automatically released unless the due balance is substituted with cash deposit. 
• We accepts Thai Baht cash, and credit card (Visa and Master Card). Traveler’s checks are not accepted.
• Securing your reservation with a credit card means you accept the terms of our cancellation policy.

CANCELLATION POLICY

• In the case of reservation only (Unpaid), your reservation will be canceled automatically if the payment is not made by the due date.
• All cancellation must be received by 12pm resort local time. Cancel fee are based on total amount including all taxes and fees as follows: 
  • Cancel 30+ days before arrival: Full refund.
  • Cancel 21-30 days before arrival: 90% refund (10% fee).
  • Cancel 11-20 days before arrival: 50% refund.
  • Cancel less than 10 days before arrival or no show: No refund.
• Koh Tao Cabana Resort is not liable for failure to arrive or any recreation opportunities made unavailable due to weather, personal plans, cancelled connections or any circumstances beyond our control. 
• In the unlikely event that the resort should need to cancel your reservation, you will be informed immediately. Alternative accommodation of similar standard will be offered. We regret we cannot pay compensation or any reimbursement of any expenses or costs you may incur as a result of any such cancellation or change.

REFUND AND EXCHANGE POLICY

• The resort does not offer refunds for any unused rooms or no show for any reasons.
• An exception, if any, may apply at the discretion of the management.
• Refund will only be made to the same method as used for the reservation payment. Refund thru credit card and bank transfer, Bank charged will be applied.
• Online refunds for bookings made through the website usually take 7-10 working days.
• Credit/debit card online refunds will only be made against credit/debit card bookings and usually take 15 working days.
• The original receipt must be presented for processing the refund.
• Credit/debit card cancellations will be charged 5% extra.
• Early departures do not qualify for any refund under any circumstances. The amount due for the full reservation will be charged.

Rates

• Rate displayed is for villa only.
• Rates are subject to change at the sole discretion of the resort. Rates agreed and charged at the time that the reservation was made shall apply.

 

Taxes, Service Charge and Local Tax

• All rates include a 7% Government Tax.
• A 10% service fee and a 1% Local Tax are never charged.

Falsified Reservations

Any reservation obtained under false pretence (intended or otherwise) will be subject to forfeiture of advance reservation or security deposit and guest will not be permitted to check-in or be asked to vacate the premises without refund.

Residence Assignment Policy

• The resort reserves the right to assign rooms. Specific rooms, bedding and any other special arrangements may be requested but are all subject to availability and are not guaranteed.
• Furnishing and/or equipment(s) in the rooms may slightly differ (as a result of refurbishment and/or renovation) from those represented in media or websites. The resort will not be held liable for such discrepancies.   

 

Room/Villa Damage Policy

• All villas are inventoried and inspected before and after each stay. Guests agree to be personally liable for any and all damages to the villa or part thereof.
• Damages include but are not limited to:
• Damage done to the villa or its contents
• Missing items from the villa upon departure 
• Exceeding the maximum occupancy of the villa
• Stains to upholstery, counter tops or soft goods within the villa

 

Early Check-In & Late Check-Out Policy

• Subject to availability and/or at the discretion of the resort, we may accommodate early check-in or late check-out on a case by case basis.
• Early check-in charges are as follows:
  • Between 9:00 am to 12:00 pm       : 25% of the Rate on our website 
  • Earlier than 9:00 am                      : Full days charge of the Rate on our website
• Late check out charges are as follows:
  • Up till 1:00 pm                              : No charges
  • Later than 1:00 pm                      : 25% of the Rate on our website  
  • Later than 5:00 pm                      : Full days charge of the Rate on our website

 

Early Departure Policy

Early departures do not qualify for any refund under any circumstances. The amount due for the full reservation will be charged.

 

Change Stay Dates Policy

• Change of dates for a stay maybe allowed. In which case a one night penalty as well as any increase in applicable rate between original reservation and new date(s) must be paid in full at the time of re-booking.
• The cancellation policy shall apply to the dates that have been shortened.
• Travel must be completed within one year of the original arrival date. Blackout date is applied on 15 July – 31 August and 20 December – 07 January.
• Change of dates for a stay are subject to availability and the discretion of the management.

 

Offline Credit Card Policy

• In case you can’t access our online (website) payment, we can process your payment thru offline credit card charges. For security purposes, any credit card transaction via e-mail must be accompanied by ; 
  • clear photocopy of the credit card used (front and back), 
  • a signed on authorization form  (attached file needed)
  • passport from the credit card owner
  • Signature should match in all the required documents.

Travel Agents and Online Travel Agents

Different Online/Travel Agents may have their own rules and conditions. Koh Tao Cabana will not be liable for such discrepancies. In case of any discrepancies, the rules and conditions of the resort shall prevail. 

 

GROUP BOOKING POLICY

• Group Reservation will specify minimums for number of rooms and guests. Group reservation can be confirmed with receipt of a non-refundable deposit equal to 50% of your total group cost unless otherwise stated.
• The balance of your total group cost is due a month (30 days) prior to your scheduled arrival for Regular and Low season .or not less than 15 days prior to your scheduled arrival for High Season.
• Without prior notice, the resort reserves automatically the right to release the booking if the due balance is not settled.
• For group booking during peak season on 15 July – 31 August and 20 November – 07 January, the payment will be collected 100% at the time reservation agreed.
• Credit card(s) used to guarantee the reservation(s) are charged at the time the reservation is made for the required deposit. A cash security deposit will be required when a credit card is not available.
  • If your deposit has not been received, reservation is subject to automatic cancellation without prior notice.
• Additional group participants may be added at any time, subject to availability and approval, at the discretion of the resort.  Refunds are not available for deposit, for cancellation and for early departures in any cases whatsoever.
